What to look for when choosing home care software

Running a home care business is complex. From creating staff rotas and keeping up with compliance, to ensuring clients receive the best possible person centred care, there are countless moving parts to manage every day. Many providers turn to specialist home care software to bring order, save time and improve communication across their teams.

However, the market is awash with options. Systems that promise to be “all-in-one” can end up feeling like a patchwork of bolted-together modules. Interfaces look slick in marketing videos but are frustrating to use day to day. Onboarding drags on because staff find it hard to learn. The system is so broad and complex that staff only end up using a few key features. And when problems crop up, support isn’t always there when you need it.

With so many options on the market, how do you know which system is right for you? Here are some key things to consider when choosing home care software.

Ease-of-use

Software should make life easier, not more complicated. Look for a system with a clean, intuitive design that your care coordinators, managers and carers can quickly get to grips with. If it’s simple to use, staff will be more confident and less reliant on lengthy training.

Some systems require multiple clicks to do even simple tasks, others require a lot of repetitive inputs, so do ensure you have a proper demo showing you everything you need to do.

All-in-one functionality

Managing care with multiple disconnected systems can be inefficient and prone to error. The most effective solutions bring everything together in one place, from rostering and care planning to medication management, invoicing and payroll. An integrated approach saves time and reduces duplication.

Be aware that some supposedly all-in-one systems are two different systems that have been bolted together (perhaps through company mergers or takeovers). The results are not always seamless and can sometimes result in duplication of data.

Flexibility and scalability

Your software needs to grow with you. Choose a platform that can handle changes in regulations, new service types and a growing workforce. Flexibility is particularly important in the care sector, where no two providers work in exactly the same way.

Support and training

Even the best software won’t deliver results without the right support. Look for providers that offer responsive customer service, ongoing training resources and human support, not just to designated managers, but to all your staff including your carers.

This will help your team get up to speed quickly and ensure you’re making the most of the system. Check customer satisfaction websites like Trustpilot and Care Tech Guide to ensure the satisfaction is high as feedback comes exclusively from customers.

Ask how long the system should take you to learn. Some software systems are so complex that they take months to master.

Value for money

Price matters, but cheapest doesn’t always mean best. When weighing up costs, consider how much time and admin the system will save, how it will help reduce errors and the improvements it could bring to client care. Good software should pay for itself in efficiency gains. Also, buy bearing in mind what your needs are going to be in the future. Saving a few pounds now could give rise to an expensive headache as you grow.

Compliance and regulation

Home care is highly regulated, so choose software that helps you meet requirements from bodies like the CQC. Features such as audit trails, electronic care notes and reporting tools can make inspections far smoother.

Local authority and other software integration

Cloud-based systems with secure mobile apps give managers and carers access to the information they need, wherever they are. Check whether the software integrates easily with tools you already use, such as payroll or finance systems.

If you’re a home care provider, you’ve probably been told, explicitly or implicitly, that you must use the software system recommended by your local authority. But here’s the truth: you’re generally not obliged to.

This misconception is more common than you might think, and it’s holding many providers back from choosing systems that better serve their needs.

Local authorities often have certain digital requirements around visit verification, electronic call monitoring (ECM), or data exchange – particularly for things like CM2000, social care portals, or payment reconciliation.

But meeting those requirements doesn’t mean you have to use the exact software they recommend. It simply means your system must be compatible.

So ask whether their software integrates with whatever your local authority is using.

Other software integrations to consider are accounting packages such as Sage and Xero.

Cyber security and third party endorsement

You should also consider data security. Only recently one software provider experienced a horrendous cyber-attack which left home care agencies without access to care records, rosters and other essential information for many months.

Look for certification to international and UK standards such as ISO 9001, ISO 27001, Cyber Essentials Plus and membership of the PRSB.

Also, look for software that is on the NHS Assured Supplier list. This will mean that it meets strict data security, quality and compliance requirements as well as a detailed list of product features and a prescribed development pathway.

Some software will also be approved on the UK Government G-Cloud, so is already trusted by local authorities and on their approved frameworks.

What good software should deliver

The best home care systems share a few essential qualities:

  • True all-in-one design – built from the ground up to integrate rostering, care planning, eMAR, finance and payroll seamlessly
  • Ease of use – simple, intuitive interfaces that don’t require constant training
  • Fast onboarding – systems that your staff can pick up quickly so you see value faster
  • Streamlined workflows – fewer clicks, more automation and time saved every day
  • Responsive support – a team who knows the sector and answers when you call
  • Fair contracts – flexibility and transparency, so you’re never locked in

In short, good software should feel like it’s working with you, not against you.

Feedback and reviews

Finally, don’t just take a supplier’s word for it. Look at independent reviews on platforms such as Trustpilot and Care Tech Guide as well as case studies. Ask other providers about their experiences. A system that’s well-regarded in the sector is more likely to deliver in practice.

Moving from an existing software solution?

If you’re already an old hand with software you might want to check for the following signs your system isn’t keeping pace:

  • Clunky or confusing user experience, with staff struggling to navigate multiple screens or clicks to complete simple tasks
  • Long onboarding periods for new staff because the software takes too long to master
  • Poor customer support, leaving your team stranded when issues arise
  • Systems sold as “all-in-one” that are actually two products stitched together with weak integration that leaves you frustrated
  • Rostering or finance modules that feel like an afterthought, rather than a core part of the system
  • Restrictive contracts that make it hard to switch, even if you’re unhappy
  • System isn’t on the NHS Assured Supplier list so may be lacking in functionality, cyber security and product development roadmap

Each of these adds unnecessary friction to already stretched teams, making care delivery more complex than it needs to be.

Final thoughts

The right home care software can transform the way you run your service – saving time, improving staff satisfaction and ensuring reliable, high-quality care for clients. Take your time to compare providers, book demos and involve your team in the decision-making process. The investment you make now will pay dividends in the long run.
