Sue does one job. Records management for residential children’s homes and supported accommodation, done so well that the people running them can put their energy where it belongs, into the children in their care.

Partner to 1,000+ UK homes · Supporting providers for 11 years · Built by a team who worked in the sector · UK hosted, closed AI system

Who Sue Is For

At Sue Solutions, we support the people at the centre of care. We built Sue specifically for residential children’s homes and supported accommodation, and every part of it is shaped by the records, the regulations and the inspection framework that apply to this sector, because we worked in the sector before we built software for it. For 11 years we have been giving teams the clarity and oversight they need to manage demanding environments and maintain high standards of care.

We work alongside every home that uses Sue. From the first demo through every inspection after it, we are there when you need us, and the team who built Sue know your service, not just your account.

We work with:

  • Registered children’s homes
  • Supported accommodation providers
  • Solo homes through to multi-site groups
  • New providers preparing to register
  • Services inspected by Ofsted, CIW or the Care Inspectorate

One Place for Everything a Home Has to Record

Residential childcare generates a constant flow of information. Daily logs, incidents, medication, care plans, safeguarding concerns, staff files, training, health and safety checks and budgets all have to be recorded accurately and found again quickly.

Sue holds all of it in a single platform. Staff record on shift, managers see what has been completed, and Directors get a view across every service straight from the system.

  • Daily practice covering logs, care and support plans, key work sessions, incidents and medication
  • Safeguarding concerns, escalation, and the record of what was done in response
  • Compliance audits, health and safety checks, maintenance tracking, Reg 44 and Reg 45
  • Workforce records including safer recruitment, training, supervision and rotas
  • Budgets, petty cash and financial oversight per home
  • Reporting for Registered Managers, Responsible Individuals and Directors

What Sue Changes, Role by Role

A care worker, a Registered Manager and a Responsible Individual each need something different from the same information. Sue is built around all three, and so is the way we work with you.

The care worker who wants to finish a shift knowing the log is done properly

  • Record on a phone or tablet during the shift, while it is fresh
  • Guided forms prompt for what the record needs, so every entry is complete
  • The current support plan for each young person is there at the start of every shift
  • New starters and agency staff pick it up quickly

The Registered Manager who wants to know what has been missed while there is still time to fix it

  • See at a glance which records are complete and which need attention
  • Deadlines and review dates tracked automatically, including 28-day plan reviews
  • Live alerts when something needs action, so issues surface early
  • Incidents and logs link back to the support plan, so patterns are visible
  • Reg 44 and Reg 45 evidence builds as you go

The Responsible Individual or Director accountable for homes they cannot be in every day

  • One view across every home and service, including supported accommodation
  • See which checks have been completed, service by service
  • Spot recurring concerns early, across services
  • Outcome and progress reporting you can take to commissioners and inspectors
  • Consistent recording standards as you open new services

How Sue Works, From First Demo to First Inspection

  1. We start with a demo against your own service model, so you can see how Sue fits the way your homes run.
  2. Then we set Sue up around you, configuring templates and workflows to your language, your standards and your ethos, and bringing your existing records across.
  3. Your team is trained by role, and by us. Care workers on recording, managers on oversight, Directors on reporting.
  4. Then it’s daily use. Staff record on shift, managers act on alerts, and the evidence base builds as the work happens. Our team stays close throughout, and we know all of our homes by name.
  5. When inspection comes, the evidence is already current, because it was recorded as it happened.

More Than the Software

We are not a supplier you hear from at renewal. The team you meet at the demo is the team you ring when something needs sorting, and most of our homes have been with us for years. When regulations change, Sue changes with them, and when a provider tells us something could work better, that feedback goes to the people who build the platform, not into a ticket queue. More than a decade in, most of what Sue does well started life as something a home asked us for.

Compliance and Data

  • Sue is designed around the Children’s Homes (England) Regulations 2015, the Quality Standards and Ofsted’s inspection framework, with CIW and Care Inspectorate services supported.
  • Supported accommodation has been regulated separately from children’s homes since 2023, and Sue supports both frameworks side by side, each against the standards that apply to it.
  • Data is held in the UK and encrypted, with role-based access controlling what each person can see.
  • Where AI is used, it operates on a closed system, so information about young people stays within your own secure environment.

FAQs

Answer – We work in partnership with registered children’s homes and supported accommodation providers across the UK, whether that is a single home, a growing group, an established multi-site organisation or a local authority service.

Answer – No. Sue is used by single-home providers as well as large groups, and we often start working with providers before registration so their recording standards are right from day one. You will not be figuring any of it out alone.

Answer – Sue was built for this sector from the start, not adapted to it. Key work sessions, Reg 44 and Reg 45, referrals, admissions records and the Quality Standards are core parts of the platform. If your service is inspected against the Children’s Homes Regulations, that detail is the whole point.

Answer – Inspections examine the evidence trail across care plans, incidents, staff files and leadership records. Sue produces that trail as a by-product of daily recording, which is why managers tell us there is far less to prepare when the inspection comes.

Answer – Yes, and as the separate regulatory frameworks they are. If you run both, Responsible Individuals and Directors get a single view across the whole organisation while each service is recorded against the standards that apply to it.

Answer – Role-based access keeps each person’s view to what their job needs, which is what makes Sue quick to learn. We train care workers on recording, managers on oversight, Directors on reporting. Ask us in the demo how a new starter or agency worker gets up to speed on their first shift, we are happy to show you.

Answer – You are not left to manage the move on your own. We bring your existing records across as part of set up and configure templates to match how your service already works, so the language stays familiar to your team. Ask us what happens to your historic records and how long migration takes, and we can put you in touch with a provider of a similar size who has already made the move.

Answer – Yes. Templates and workflows adapt to your standards, your language and your ethos, and our team works through that set up with you rather than leaving you to configure it alone.

Answer – Data is hosted in the UK and encrypted, with role-based access controlling what each person can see. Where AI features are used, they run on a closed system, keeping information about young people within your secure environment.

Answer – V2 is the current version of Sue, rebuilt from the ground up after 11 years of running the original platform across more than 1,000 homes. It was built on what those homes told us over that time, and it is available to new customers now, with existing customers being moved across.

Answer – Pricing depends on the number of services and users. We put it in writing at the demo stage, along with the contract term and what is included in set up and training.

Answer – Ask us the hard ones. These are a good start.

  • Show me a real incident recorded end to end, from the shift log to the manager response.
  • How does a new starter record their first shift?
  • What does the Responsible Individual view show that the manager view does not?
  • How would this evidence a Reg 44 visit and our annual quality of care review?
  • Can I speak to a provider of our size who moved from our current system?
  • What support do we get after go-live?

See Sue Against Your Own Service

A demo is the best way to judge whether a system fits how your homes run, so we do them against your service model, not a generic one. It is also the best way to judge us, because how we work with you starts there. Demonstrations are free for registered providers across the UK and for those planning to open a new home.
